3abkry CRM — User Guide

This guide walks you through 3abkry CRM step by step: registering your workspace, choosing a plan, and managing the complete customer journey — customers, contacts, leads, opportunities, pipelines, tasks, notes, and your team’s roles and permissions.

1Overview

3abkry CRM is a multi-tenant customer relationship platform. Each company signs up for its own private workspace (tenant) with isolated data. Inside a workspace you manage the entire sales cycle and invite your team, each member with a role that controls exactly what they can see and do.

The CRM work cycle

A typical journey through 3abkry CRM flows like this:

  1. Customers — your accounts and companies you do business with.
  2. Contacts — the people who work at those customers.
  3. Leads — potential business you capture and qualify.
  4. Convert — a qualified lead becomes a customer and an opportunity.
  5. Opportunities — active deals you move through pipeline stages until won or lost.
  6. Tasks — the follow-ups, calls and to-dos that push each deal forward.
  7. Notes & activity — the running history that keeps everyone aligned.
Everything in this guide happens inside your workspace and respects your subscription plan limits and each user’s role.

2Getting started: register & choose a plan

The person who registers creates the workspace and automatically becomes its Workspace Admin (tenant-admin) — the owner who can then invite users and assign roles.

Create your account

  1. Open the site and click Get started, or go straight to the pricing section and pick a plan.
  2. On the registration page, enter your full name, your workspace name (your company), your email and a password (at least 8 characters).
  3. Choose a plan — Free, Pro, or Business. If you clicked a plan on the pricing page it is pre-selected for you.
  4. Accept the terms and submit. Your workspace, your admin account, and a subscription are created instantly.

Your free trial

Paid plans start on a trial (14 days by default). During the trial you have full access to the plan’s features. The Free plan has no time limit.

Your plan sets your limits — for example how many users you can add. When you outgrow a plan, upgrade from Settings → Billing and the new limits apply immediately.

3The CRM dashboard

After you sign in you land on your dashboard — a snapshot of your pipeline value, open leads, tasks due, and recent activity. Use the left sidebar to move between Customers, Contacts, Leads, Opportunities, Pipelines and Tasks.

  • The sidebar shows only the sections your role is allowed to access.
  • Switch the interface between Arabic and English at any time from the language switcher.
  • The workspace name and brand appear at the top so team members always know which workspace they are in.

4Managing customers

Customers are the companies or accounts you do business with. They are the anchor that contacts, opportunities and tasks attach to.

Add a customer

  1. Go to Customers and click New customer.
  2. Fill in the company details — name, email, phone, and any address or notes.
  3. Save. The customer now appears in your list and can be linked to contacts and opportunities.

Everyday actions

  • View a customer to see its contacts, opportunities and history in one place.
  • Edit to keep details up to date.
  • Export your customer list (available to roles with the export permission).
  • Delete a customer you no longer need (admins only).

5Managing contacts

Contacts are the individual people you deal with — usually employees of a customer. Keeping contacts accurate means every call, email and task reaches the right person.

  1. Open Contacts and click New contact.
  2. Enter the person’s name, job title, email and phone, and link them to a customer.
  3. Save. You can now attach this contact to leads, opportunities and tasks.
Tip: link every contact to a customer. It builds a complete picture of who you know inside each account.

6Capturing & converting leads

A lead is potential business you haven’t qualified yet. You capture leads, work them, and when one is ready, convert it into a customer and an opportunity.

Create and qualify a lead

  1. Go to Leads and click New lead.
  2. Add the lead’s details — name, company, contact info, source and estimated value.
  3. Assign the lead to a team member (roles with the assign permission) so ownership is clear.
  4. Work the lead: log calls and notes, and update its status as it progresses.

Convert a lead

When a lead is qualified and ready to become a deal, use Convert. Converting turns the lead into a customer (and contact) and opens an opportunity so you can track the deal to close.

Converting keeps all the lead’s history, so nothing is lost as it moves into your pipeline.

7Pipelines & stages

A pipeline is the set of stages a deal passes through — for example: Qualification → Proposal → Negotiation → Won/Lost. Pipelines let you see exactly where every opportunity stands.

  1. Open Pipelines (admins can create and edit pipelines).
  2. Create a pipeline and define its stages in the order deals move through them.
  3. Set a default pipeline your team uses for new opportunities.
  • Managers and sales reps can view pipelines and move deals through them.
  • Only admins can create, rename, reorder or delete pipelines and their stages.

8Working opportunities (deals)

An opportunity is an active deal with a value and an expected close. This is where the selling happens — you move each opportunity through your pipeline stages until it’s Won or Lost.

Create and progress a deal

  1. Create an opportunity from Opportunities → New, or by converting a lead.
  2. Set its value, the customer/contact it belongs to, and its current stage.
  3. As the deal advances, change the stage to reflect reality — this updates your pipeline and forecast.
  4. Assign the opportunity to an owner so responsibility is always clear.
  5. Mark the deal Won or Lost when it closes.
Keeping stages current is what makes your dashboard and reports trustworthy — update them as soon as something changes.

9Tasks & follow-ups

Tasks are the actions that keep deals moving — calls, meetings, emails and reminders. They can stand alone or be attached to a customer, lead or opportunity.

Create and assign a task

  1. Open Tasks and click New task.
  2. Give it a title, due date and priority, and link it to the related customer, lead or opportunity.
  3. Assign it to a team member (roles with the assign permission). The task appears in their list.
  4. When the work is done, mark the task Complete.

Who sees which tasks

  • Admins and managers can see all tasks across the team (view-all).
  • Sales reps and support see the tasks assigned to them and the ones they create.
  • Anyone with the complete permission can close a task once it’s finished.

10Notes & activity log

Notes let you record context — a call summary, a meeting outcome, an objection — directly on a customer, lead or opportunity. The activity log automatically records key changes so you always have a trail of what happened and when.

  • Add notes as you work so context lives with the record, not in someone’s inbox.
  • Admins can view the full workspace activity log; managers can view team activity; each member can see their own.
  • Admins can export activity for auditing.

11Your team: users, roles & permissions

As the Workspace Admin you build your team by inviting users and giving each one a role. A role is a bundle of permissions that decides what that person can see and do. Your subscription plan sets how many users you can add.

Invite a user

  1. Go to Users (or Invitations) and click Invite.
  2. Enter the person’s email and pick a role (Manager, Sales Rep, Support, or Viewer).
  3. Send the invitation. They receive a link to set their password and join your workspace.
  4. You can resend or cancel a pending invitation at any time.

Manage existing users

  • Change a user’s role as responsibilities shift.
  • Deactivate a user to block access without deleting their history; reactivate them later.
  • Remove users you no longer need (this frees a seat against your plan limit).
Reached your plan’s user limit? Upgrade your plan from Settings → Billing to add more seats.

12Role permissions reference

These are the built-in tenant roles you can assign to your team. Workspace Admin is the owner created at registration and has full control of the workspace. The table shows what each role can do across the CRM.

  • Workspace Admin (tenant-admin) — full access to everything in the workspace, including users, roles, billing and settings.
  • Manager — runs the sales team: full CRM except deleting records, sees all tasks and team activity, views reports.
  • Sales Rep — works deals day to day: creates and edits customers, leads, contacts and opportunities, and manages their own tasks.
  • Support — assists customers: views customers, adds contacts, and creates/completes tasks.
  • Viewer — read-only access to CRM records and reports.

Legend — Full: view, create, edit & delete. Manage: everything except delete. : no access. Admins with the roles permission can also create custom roles and fine-tune permissions.

13Settings, subscription & billing

The Workspace Admin manages the workspace from Settings — company details, preferences, and the subscription.

  • Update your workspace name, contact details and preferences.
  • View your current plan, its limits, and your trial or renewal date.
  • Upgrade or change plan to unlock more users and features — new limits apply right away.
Only the Workspace Admin (and roles you grant billing access to) can change the subscription.

14Frequently asked questions

Can I switch between Arabic and English?

Yes. Use the language switcher any time; the whole interface and this guide are fully bilingual and support right-to-left Arabic.

What happens when my trial ends?

You’ll be prompted to choose a paid plan to keep full access. The Free plan is always available with no time limit.

How do I add more team members?

Invite them from the Users screen. If you’ve hit your plan’s user limit, upgrade your plan to add more seats.

Is my workspace data private?

Yes. Each workspace (tenant) is isolated — your customers, leads and deals are visible only to the users you invite.
